How long does Callmine keep my reports?
Retention runs 30 days on Trial/Free, 90 days on Starter, 1 year on Growth, unlimited on Scale. Data is never deleted at expiry — only hidden.
TL;DR
Retention depends on plan: 30 days on Trial and Free, 90 days on Starter, 1 year on Growth, unlimited on Scale and Custom. Data is never deleted from storage when retention expires — older reports are hidden from the UI and reappear on plan upgrade.
Retention by plan
| Plan | Retention |
|---|---|
| Trial | 30 days |
| Free | 30 days |
| Starter | 90 days |
| Growth | 1 year |
| Scale | Unlimited |
| Custom | Unlimited (or contract-specified) |
The retention window is counted from each report's run date. A report run today on Starter is visible until 90 days from today.
"Hidden, not deleted"
This is the design choice that matters most: Callmine does not delete reports when retention expires. The row stays in the database, the JSON payload stays in storage, and the only thing that changes is whether your UI surfaces it.
This means:
- ·Upgrading the plan re-exposes older reports immediately. No manual restoration needed.
- ·Downgrading hides reports past the new window. They reappear if you upgrade again.
- ·The audit log preserves every run's metadata regardless of UI visibility — admins can see that runs happened, even if the report itself is hidden.
When data actually gets deleted
Data is deleted from Callmine's storage in three cases:
- ·You request deletion in writing. Email
hello@callmine.aiwith the report ID (or "everything in this workspace"). We process within five business days. - ·A workspace is closed for over 12 months. Closed workspaces with no activity are purged in line with our data retention policy.
- ·A regulator requires it. Vanishingly rare, but we'll honor legitimate legal requests.
In every other case, the data persists exactly where it was written.
Why this matters for plan choice
Retention is sometimes the right reason to pick a higher plan, not quota. A Free workspace running 25 calls/month forever has plenty of quota — but only sees the last 30 days of reports. A Starter workspace at the same volume sees the last 90 days. Pick the retention window that matches how you actually look back at data.
